Overview:

The Executive Administrative Assistant performs advanced administrative duties directly related to the general business operations of the Bank. Relieves Executive of administrative details, composes interpretive correspondence both on own initiative and on consultation with Executive.   The Executive Assistant must exhibit strong executive presence, have strong communication skills, be self-motivated, demonstrate strong initiative, maintain confidentiality at all times, be a self-starter, and be capable of handling multiple duties concurrently with little direct supervision.

Principal Duties & Responsibilities:

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications

  • Performs key administrative support for department or work unit with considerable scope for developing work methods and scheduling priorities.

  • Composes interpretive correspondence both on own initiative and on consultation with supervisor, requiring considerable knowledge of department's activities and the Bank’s policy.

  • May compile data and create monthly reports, schedules, and spreadsheets.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Engages in important contact work with senior executives, both inside and outside company in a professional manner.

  • Works with highly confidential information.

  • Coordinates arrangements for social functions as required.

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

  • Will provide backup coverage for the switchboard, as needed.


Qualifications:
  • 2-4 years of experience in a previous Administrative position supporting senior management.
  • Executive Calendar Management experience.
  • Experience using Concur.
  • Highly proficient in Microsoft Office: Excel, Outlook, Word, and PowerPoint

  • Excellent interpersonal skills as needed to work with both high-level Bank officers and other Bank employees.

  • Extensive experience working in a fast-paced, demanding environment.

  • Ability to exercise discretion.

  • Strong written and verbal communication skills.

  • Ability to work independently and handle multiple tasks while staying highly organized.


Education:
  • High School Diploma or GED equivalent required.
  • Associate's Degree in Business Administration or other relevant field of study preferred.
